SRA PI renewal checklist

An SRA professional indemnity renewal is a timed compliance event for authorised solicitor practices — not a generic “refresh your PI” reminder. You need qualifying cover with a participating insurer, on terms that meet the SRA Minimum Terms and Conditions, in place for the next indemnity period.

This page is the renewal checklist. The full practice insurance stack sits on Solicitor Insurance UK. Claims-made mechanics, retroactive dates, and general PI language sit on Professional Indemnity Insurance UK. For the rules themselves, start with the SRA Indemnity Insurance Rules and the Law Society’s PI guidance — always check the current published text for your firm type and indemnity period.

Meshed is an FCA-regulated UK broker. Mesh'd Limited trading as Meshed is authorised and regulated by the Financial Conduct Authority under firm reference number 1033248. We place commercial covers for UK limited companies, partnerships, and sole traders, from a panel of insurers. Broker fee is a flat 10%, with no admin add-ons. We do not publish fake “from £X” solicitors PI prices.

Why solicitor PI renewal is a calendar event, not a generic PI refresh

Most commercial PI can slip a few weeks while a broker shops the market. SRA-qualifying PI for authorised firms cannot. If qualifying cover is not in place when the rules require it, the firm’s ability to continue practising is at stake — this is a hard stop, not a soft marketing deadline.

Treat the indemnity period end date as a project date: pack ready early, insurer / participating status confirmed, disclosures complete, and options on the table before you are against the wall. Panels, lenders, and clients who ask for evidence of cover will not wait for a last-minute binder either.

Pre-renewal pack — structure, fee income, practice areas, claims / circumstances

Build the pack before you ask for terms. Incomplete proposals create late bind risk.

Include at least:

  • Structure — sole practitioner / sole trader, partnership, LLP, or limited company; SRA authorisation position

  • Fee income — recent and projected, split by practice area if the proposal asks for it

  • Practice areas — conveyancing, litigation, commercial, private client, and any higher-risk work called out honestly

  • Headcount — principals, employed solicitors, other staff

  • Current PI — insurer, limit, excess, retroactive date, indemnity period end, schedule / certificate

  • Claims and circumstances — paid, outstanding, and anything that might reasonably give rise to a claim even if no letter has arrived

  • Prior insurers and any declinatures — if asked

  • Other covers already in force (cyber, EL, office, D&O) so the renewal conversation is not PI-only by accident

Do not leave “circumstances” blank because no claim has been issued yet. Claims-made wordings turn on what you knew and when you notified. If you are unsure whether something is notifiable, raise it with your broker and, where needed, take advice — do not invent a notification strategy from a blog post.

Qualifying insurance + participating insurer — what to confirm before you bind

Before you bind a renewal, confirm three things against current SRA materials:

  1. The policy is qualifying insurance for your firm type under the Indemnity Insurance Rules.

  2. The insurer is a participating insurer for the relevant indemnity period.

  3. The terms meet the Minimum Terms and Conditions (MTC) floors that apply to your structure — including the minimum sum insured any one claim (exclusive of defence costs) published in the current MTC.

As set out in the MTC text commonly referenced for authorised firms, floors have been at least £3 million any one claim (exclusive of defence costs) for relevant recognised or licensed bodies, and at least £2 million in other cases (including many unincorporated practices). Those figures are the regulatory floor, not a recommendation for high-value work. Always verify the current MTC and participating-insurer list for your indemnity period on the SRA site. We will not invent a limit or a premium that only exists for a different profession.

If your current insurer will not offer qualifying renewal terms, or is no longer participating, treat that as an urgent placement project — not a paperwork inconvenience.

Retroactive date, prior acts, and mid-term changes that bite at renewal

PI for solicitors is typically claims-made. The retroactive date and continuous cover matter as much as the limit on the certificate.

Watch for:

  • A new insurer quoting a later retroactive date than your current policy

  • Gaps between indemnity periods

  • Mid-term changes you never endorsed (new practice area, entity change, office move, material fee growth)

  • Open circumstances that should have been notified on the expiring policy

Switching insurer to “save a bit” without protecting prior acts is how firms buy a shiny new schedule and lose cover for older work. Ask the broker to show the retroactive date on every option side by side.

Run-off and succession questions to raise early (merger, retirement, entity change)

Raise succession questions months before the indemnity period ends, not in the final week:

  • Partner retirement or departure

  • Practice closure

  • Merger or acquisition

  • Conversion between sole practice, partnership, LLP, and limited company

  • Sale of the book or succession arrangements

Run-off and successor-practice cover are specialised asks under the SRA framework. The detail sits in the rules and Law Society guidance — use those, then brief your broker with the planned timeline. Leaving run-off as an afterthought is how a retiring principal discovers the gap after files have already moved.

Covers that sit beside PI at renewal

PI is primary for solicitors. At renewal, check the rest of the stack in one pass so certificates do not go stale on different dates:

One-line each is enough here; the sector landing ties them together on Solicitor Insurance UK.

How to brief Meshed for an SRA-timed renewal

Send:

  1. Structure and SRA position

  2. Practice areas and fee income

  3. Current PI schedule / certificate, retroactive date, and renewal date

  4. Claims and circumstances summary

  5. Any panel or lender certificate wording you must meet

  6. Whether cyber, EL, office/PL, or D&O need to renew in the same window

  7. Any merger, retirement, or entity-change plans in the next 12 months

What we place: commercial covers for the practice — including helping you navigate qualifying PI placement with appropriate markets — plus the adjacent commercial policies above. Straightforward renewals move faster with a complete pack. Open claims, incomplete proposals, or last-minute insurer exits take longer; we will say that up front.

FAQs

When should a solicitor firm start SRA PI renewal conversations?

Start early enough that a full pack, market approach, and bind can finish before the indemnity period ends — many firms begin two to three months out, earlier if there are claims, a change of insurer, or succession plans. Leaving it to the final weeks is how participating-insurer and qualifying-cover problems become practice risks.

What is “qualifying insurance” for SRA PI renewal?

Qualifying insurance is professional indemnity cover that meets the SRA Indemnity Insurance Rules and Minimum Terms and Conditions for authorised firms, placed with a participating insurer. Check the current SRA definitions and lists for your firm type and indemnity period rather than relying on a generic commercial PI wording.

What happens if my insurer is no longer a participating insurer?

You need qualifying cover with a participating insurer for the relevant period. If your current insurer exits that list or will not offer qualifying renewal terms, treat replacement as urgent. Confirm status on current SRA materials and brief your broker immediately with the full pack above.

Do I need to disclose circumstances before renewal even if no claim has been made?

Yes — if you are aware of circumstances that might reasonably give rise to a claim, raise them. Claims-made cover turns on notification timing. Blank “none” answers that later prove incomplete create avoidable disputes. If unsure, speak to your broker and take advice; do not bury known issues to get a cheaper quote.

Is cyber insurance part of SRA PI renewal?

Cyber is not a substitute for SRA-qualifying PI, and PI is not a substitute for cyber. Renew them in the same planning window so client-data and systems risks are not left on an expired certificate. Detail: Cyber Insurance UK.

Can sole practitioners renew SRA PI through Meshed?

Yes. We place commercial cover for limited companies, partnerships, and sole traders — including sole practitioners who need qualifying PI and the commercial stack around the practice. Speak to us with structure, SRA position, practice areas, fee income, and renewal date.
