Why the first office changes the insurance ask

At home, many early founders run with little or no public liability because there is no landlord schedule and no shared floor. The moment you sign a coworking membership, flexible licence, or lease, the operator often requires:

  • Public liability at a stated minimum (commonly £1m–£5m in UK flexible spaces)

  • A certificate or schedule naming your company

  • Sometimes employers’ liability if you bring employees into the space

  • Confirmation that cover applies at third-party / shared premises — not only at a private freehold you own

Their building policy protects them. It does not automatically cover your liability if a visitor trips over your cable or you damage shared kit. That is why the membership agreement points at your PL certificate.

Typical timing for UK startups

  1. Home / remote only — PL may still matter for client visits, events, or contracts, but there is often no landlord ask

  2. Coworking day pass / hot desk — many operators still want PL on file before regular use; check the membership T&Cs

  3. Dedicated desk / private office in a flexible building — PL certificate is usually a condition of move-in

  4. Short lease / serviced office — lease schedule often names PL (and sometimes contents / EL); match limits before keys

  5. First employee in the space — add employers’ liability; that is a legal duty in Great Britain once you employ anyone, separate from PL

Do not wait until move-in day. Placement and certificate issuance need a buffer — especially if the space wants a named limit you do not yet hold.

What “good” looks like for the space

  1. Current public liability certificate or broker evidence letter showing limit, period, and named insured

  2. Limit that meets (or honestly negotiates) the membership / lease minimum

  3. Cover that applies to business activities at third-party premises — tell the broker you are in coworking / flexible office, not only working from home

  4. Clear company name matching Companies House / the membership agreement

  5. If you employ staff who will work in the space, hold employers’ liability and keep that certificate handy too

  6. Contents / equipment cover is a separate conversation — laptops and kit in shared spaces are not the same as PL

Founders, sole traders, and early Ltds

Sole traders and early limited companies take coworking desks every week. The PL ask follows the membership or lease, not whether you have raised capital. If you are a founder, sole trader, or small partnership moving off the kitchen table, speak to us with the space’s insurance clause — we will say what we can place and what certificate we can produce.

What to send a broker before you move in

  1. Coworking membership T&Cs or lease insurance clause (exact limit and wording)

  2. Move-in / start date

  3. Address of the space (and whether you keep a home office too)

  4. Headcount (employees vs contractors) who will use the space

  5. Current schedules if any

  6. Any client contracts that also name PL limits

  7. Prior claims or incidents

Clean files move faster. “We need insurance for WeWork” without the clause slows the certificate when the space is chasing onboarding.

FAQs

Do UK startups need public liability for a first coworking office?

Often yes as a membership or lease condition — even when the law does not force PL the way it forces employers’ liability for staff. Check the space’s T&Cs for the minimum limit and produce a certificate before move-in.

Is the building’s insurance enough?

No. The operator’s policy protects the building and their liability. Your PL responds to claims arising from your business activities. Spaces ask for your certificate for that reason.

Is this the same as the Public Liability Insurance UK page?

What about employers’ liability?
